Plans change — here's exactly what happens when they do. This policy covers paid tickets and registrations purchased through VivaBoard Tickets, how organizer refund windows work, and what you're entitled to when an event is cancelled or rescheduled.
Events on VivaBoard are run by independent organizers, and each organizer sets the refund rules for their event within the framework described here. This policy explains the baseline that applies platform-wide, what happens when an event is cancelled or changed, and how refunds are processed once approved.
Free registrations can be cancelled at any time before the registration deadline from your tickets page — no request needed.
For paid registrations, the organizer's event page states whether refunds are offered and until when (for example, "full refund up to 7 days before the event"). Where an organizer offers a refund window, requests made inside that window are honored in full for the ticket price.
Requests made after the stated window, or for events marked non-refundable, are at the organizer's discretion. We encourage organizers to be generous where capacity can be resold, but VivaBoard cannot compel a refund outside the organizer's stated rules except in the situations described below.
If an organizer cancels an event, all paid registrations are refunded in full, including the platform fee, without any action needed from you.
If an event is rescheduled to a new date or moved to a materially different venue, your ticket remains valid for the new arrangement. If you cannot attend, you may request a full refund within 14 days of the change notice, and it will be honored regardless of the organizer's usual refund window.
Approved refunds are returned to the original payment method. Once processed on our side, most refunds appear within 5–10 business days depending on your bank or card issuer. Refunded tickets and their QR codes are voided immediately and cannot be used for entry.
If the original payment method is no longer available (for example, an expired card), contact support and we will arrange an alternative with the payment provider.
When a refund is issued because an organizer cancelled the event, the platform fee is refunded in full. For voluntary cancellations inside an organizer's refund window, the ticket price is refunded and the platform fee may be retained to cover payment-processing costs — the exact amount is always shown before you confirm the cancellation.
If you believe a charge is incorrect or unauthorized, contact us at support@events.vivaboard.app before opening a dispute with your bank — most issues are resolved within two business days. Chargebacks filed for tickets that were validly scanned at entry may be contested with the scan record as evidence, and accounts that abuse the dispute process may be suspended.
Open your ticket from the tickets page and choose "Request refund," or email support@events.vivaboard.app with your order number and the reason for the request. You will receive a confirmation when the request is received and a decision by email, typically within two business days.
